Veritas Hall LLC is a Wyoming limited liability company providing academic and admissions consulting services. This policy explains what personal information we collect, how we use it, and the rights you have over it.
Who this policy is for
We work with students — many of whom are minors — and with their parents and guardians.
If you are under 18, please read this policy together with a parent or guardian. We require a parent or guardian to engage our services on behalf of any student under 18.
Information we collect
Information you provide through this website
Our consultation request form collects the name, email address, and telephone or WhatsApp number you enter, together with the student’s grade level and the area of assistance you are interested in. Submissions are delivered to us by email through a third-party form delivery service, which transmits the message and does not use it for any other purpose. If you contact us directly by email or by WhatsApp, we receive the contents of those messages.
Information you provide during an engagement
In order to advise you we may receive academic transcripts and records, standardised test scores and score reports, lists of activities, awards and achievements, drafts of application essays and personal statements, school and university lists, and information about family circumstances where it is relevant to financial aid planning. We ask for what is necessary to advise you well, and no more.
Information collected automatically
Our web hosting provider records standard server log information, including IP address, browser type, referring page, and pages visited. This is used for security and to keep the site working. We do not use advertising cookies, and we do not permit third parties to track your activity across other websites through our site.
Payment information
Fees are processed by third-party payment providers. We receive confirmation that a payment has been made together with limited transaction details. We do not store complete payment card numbers on our own systems.
How we use information
We use personal information in order to:
- respond to enquiries and arrange consultations;
- provide the consulting, advisory, tutoring, and test preparation services you have engaged us for;
- communicate with you about an ongoing engagement;
- process payments and maintain financial records;
- comply with legal, tax, and accounting obligations.
We do not sell personal information. We do not share student information with third parties for those third parties’ own marketing purposes. We do not use student work to train artificial intelligence systems.
When we disclose information
We disclose personal information only in the following circumstances:
- To service providers who support our operations — including payment processing, scheduling, email, video conferencing, and file storage — who are permitted to use it only to provide those services to us.
- At your direction, for example where you ask us to correspond with a school, university, or programme on a student’s behalf.
- Where required by law, including in response to lawful requests by public authorities.
- To protect safety, where we believe in good faith that disclosure is necessary to prevent serious harm to a student or another person. Where the student is a minor, we will ordinarily involve their parent or guardian.
- In connection with a business transfer, in which case the information would remain subject to this policy.
Children and students under 18
Our services are engaged by parents and guardians on behalf of students under 18. Enquiries and account arrangements are made by an adult, and we correspond with parents and guardians throughout an engagement.
We do not knowingly collect personal information online directly from children under 13. Where we work with a student aged 12 or 13, that engagement is arranged by a parent or guardian, who provides the relevant information and consents to our holding it. If you believe a child under 13 has provided personal information to us directly through this website, contact us at veritashall.llc@gmail.com and we will delete it.
Parents and guardians may, at any time, review the personal information we hold about their child, request that it be corrected, request that it be deleted, and withdraw consent to our continued holding of it. Contact us and we will act on the request.
International clients
We work with families in the United States, China, Southeast Asia, the United Kingdom, and elsewhere. Personal information is processed and stored in the United States and in other locations where our service providers operate. Where you are located in a jurisdiction whose data protection law applies to our processing, we will honour the rights that law affords you.
How long we keep information
- Enquiries that do not become engagements: up to 24 months, then deleted.
- Client records: for the duration of the engagement and for 7 years afterwards, reflecting tax and record-keeping obligations.
- Student work product — essays, drafts, and application materials: retained for 12 months after an engagement ends so that materials remain available to you, then deleted. You may ask us to return or delete them sooner and we will do so.
You may request deletion at any time. We will comply except where we are required to retain particular records by law.
Your rights
You may:
- request a copy of the personal information we hold about you or your child;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete information, subject to legal retention requirements;
- withdraw consent to marketing communications at any time.
Write to veritashall.llc@gmail.com. We will respond within 30 days. Residents of certain jurisdictions have additional statutory rights, which we will honour where they apply.
Security
We take reasonable measures to protect personal information, including limiting access to those who need it to do their work, using reputable service providers, and requiring authentication for the systems that hold client materials. No system is completely secure, and we cannot guarantee absolute security of information transmitted over the internet.
Changes to this policy
We will post any changes on this page and update the effective date above. Where a change materially affects existing clients, we will tell them directly.
